What the real total looks like
A one-time licence is not the whole bill, and it would be dishonest to present it as one. Here is everything you actually pay for, including the parts ClientOS does not charge for.
| What | Cost | Paid to |
|---|---|---|
| The ClientOS licence | $490, $990 or $1,790 once, or quoted | ClientOS (Vibemonk), once per domain |
| A Linux VPS | From about $10 a month | Your host — Hetzner, DigitalOcean, Vultr, Linode and AWS Lightsail are named in the docs |
| A domain | Whatever you already pay | Your registrar. ClientOS needs one A record on a domain you control |
| Email sending | Your own plan | Resend, or any SMTP provider you already use. Required — nothing can be emailed until it is connected |
| Payment processing | Your gateway’s own fees | Stripe, PayPal or your crypto gateway. ClientOS takes no cut on top |
| File storage beyond your disk | Optional | Cloudflare R2, if you would rather not keep files on the server |
| Staff seats | None | Nobody. Every package states unlimited clients, staff and orders |
| HTTPS certificates | None | Let’s Encrypt, issued and renewed by Caddy automatically |
One asterisk worth reading. Updates are time-limited on every package except Custom: 3 months on Start-up, 12 on Standard, 2 years on Premium. getclientos.com states that when they end, ClientOS keeps running on the version you have and you can renew for newer releases — but it does not publish a renewal price. If long-term update costs matter to your decision, ask them before you buy.
How a one-time licence compares with a subscription
The comparison only means anything over time, and it depends entirely on your team size and which plan you would otherwise be on. Each comparison page below does the arithmetic from both vendors’ own published list prices and shows its working.
Pricing questions
How much does ClientOS cost?
It is a one-time licence, one per domain: Start-up $490 with 3 months of updates, Standard $990 with 12 months, Premium $1,790 with 2 years and two agency licences, and a quoted Custom package with lifetime updates. There is no monthly fee, no per-seat pricing and no cut of your payments. Your only running cost is the server, which the site puts at about $10 a month.
What happens when my updates run out?
Nothing stops. ClientOS keeps running on the version you have, and you can renew to get newer releases. Lifetime updates come with the Custom package.
Can I move over from my current client portal?
On Start-up and Standard you bring your clients in yourself from a CSV file, with column mapping. On Premium and Custom the ClientOS team moves your data for you, or builds a migration tool for it. Their published Dot Mirror case study describes a Wayfront importer bringing over clients, orders, messages, invoices and files.
How many clients and staff can I have?
Every package states unlimited clients, staff and orders. The licence is counted per domain, not per seat: Start-up and Standard cover one agency, Premium covers two, and each extra install is its own licence.
Can I try it before buying?
Yes. The instant demo emails you a login to a live ClientOS with sample clients, orders and invoices — the full agency admin and the client portal. It is read-only and works for 3 days. No call, no card.
